Creating Purchase Orders
When Brass Jacks Bookkeeper informs you that inventory quantities on hand for items are low, you can create purchase orders to order additional inventory items. If you've added non-inventory items, you can order them with a purchase order. (For details, see Adding Non-Inventory Items.)
Typically, purchased items are sent directly to your company; however, you can have items delivered to your customers.
To create a purchase order:
- Choose Inventory > Create Purchase Orders, or click the Enter Purchase Orders icon in the Inventory section of the workspace.
- In the Purchase Orders dialog box, select the vendor from the Vendor list.
To add a new vendor, click the Vendor link and choose Add New Vendor. (See Managing Vendors for details.) - To have items delivered to your company, verify that Company shows in the Ship To list and the correct address appears beneath.
To have items delivered to your customers, select Customer from the Ship To list and then select the customer in the Customer list that appears. Verify the address. - In the FOB and Freight boxes, type any known shipping charges from your vendor.
- If necessary, adjust the P.O. Date. (Brass Jacks Bookkeeper uses the current date as the default.)
- Type the Expected delivery date, if known, or click the arrow to select the date on a calendar.
- To add an item, click the Add Line Item button to the right above the Purchase Order Line Items area.
- In the Item List dialog box, select the item to add to the purchase order and click Select to add the item to the purchase order.
If the item you want to add isn’t in the list, see Viewing the Inventory List or Adding Inventory Items. - For the new line item, type the number of items to order in the Quantity column.
- If necessary, edit any information in white boxes.
- To add other items, repeat steps 8-10.
- To delete an item from the purchase order, click the X icon to the right of the item. In the confirmation message box, click Yes.
- If needed, type text in the Message box.
- Click Save.
