Making Journal Entries
It’s very easy to throw your books out of balance using the Journal Entry feature if you’re not familiar with double-entry accounting. This feature is designed for your accountant or bookkeeping professional to use to correct discrepancies and errors in your account books.
You must make both credit and debit journal entries so that the balance is a net zero change.
To make a journal entry:
- Choose Accounting > Make Journal Entry, or click Journal Entries in the Company section of the task bar.
You can also click Journal Entry in the Interactive Trial Balance dialog box. - In the Journal Entries dialog box, type the date in the Entry Date box or click the arrow and select a date from the calendar.
- Select a journal from the Journal list.
- Type an optional Description.
- Select either credit (CR) or debit (DB) for the blank line item.
- Select an account from either the Account No. or Account Name list.
(To add or edit an account in your Chart of Accounts, click the Account No. or Account Name link). - Type the Amount for the line item.
- Add a Description.
- Click Add to create another entry and repeat steps 5 - 8.
- To delete a line, click the Delete button at the end of the line item.
- Confirm that Net Entries at the bottom of the dialog box shows $0.00.
- Click Save.
Managing Journal Lists
You can create another journal, delete a journal, or rename an existing journal in the Journal Entries dialog box.
To add, delete, or rename a journal:
- Choose Accounting > Make Journal Entry, or click Journal Entries in the Company section of the task bar.
You can also click Journal Entry in the Interactive Trial Balance dialog box. - In the Journal Entries dialog box,click the Journal link at the top of the dialog box.
- In the Journal List Maintenance dialog box, to add a new journal to the list, click Add and then type a name for the new journal.
- To delete an existing journal, select the journal from the list and click Delete. In the confirmation message box, click Yes.
- To change the name of an existing journal, select the journal in the list and type a new name.
- Click OK to apply any changes.
- To close the Journal Entries dialog box, click OK.
